Parent To Do Checklist For This Week
- ***2024 Marching Band Students And Parents***- PLEASE ACCEPT INVITATION TO BOOSTERHUB IMMEDIATELY UPON RECEIPT. BoosterHub is replacing Charms and will be our new communication tool going forward. (See below for details and complete directions.)
- 2024 Marching Band Families - Please review the 2024 Marching Band Registration Guide found below under the heading “Marching Band Next Steps”. Several steps need to be completed by May 1st.
- Sign up to volunteer for After Prom. Donations are needed as well. Please see below for details. (Greatest need is for the last shift!)
- Volunteers needed for Flower Sale pick up on May 4th.
- New Members- Join us this Tuesday, April 9th at 7pm for our New Member Coffee Talk (details below)
- Graduating Seniors- Please complete the two tasks below to submit information for a social media shout-out and for recognition during the Spring Concerts.

Replacement For Charms Has Been Chosen- ACTION STEPS REQUIRED
Charms, our band database/communication tool we have utilized for the past several years, was bought out by a new company. It has been determined that the new company will not be able to meet the needs of our band program. Therefore, over the last several months, the Executive Booster Committee, band directors, and other critical leadership team members have been researching and testing out other platforms to replace Charms. We are happy to report that we have selected BoosterHub as our Charms replacement. If you would like to learn more about BoosterHub, please click HERE.
It is important that all band students and family members read future communication carefully and follow all instructions given to make the switch to BoosterHub. Failure to do so will result in no longer being able to receive communication from the band and potentially missing critical information/deadlines.
KEY THINGS TO KNOW-NEW INFORMATION (Please read the section that pertains to your family)
2024 MARCHING BAND STUDENTS AND FAMILIES:
We plan to have everyone entered into BoosterHub this upcoming week. Students and parents will receive an invitation in the near future to join BoosterHub. The invitations will be sent on a rolling basis. You may get both an email and a text message with the invitation. You can accept the invitation via either method. Please accept the invitation. You can access BoosterHub in a web browser or in their custom app. We highly recommend that you download the BoosterHub app on your mobile device. If you do not receive the invitation, please check your spam folder first. If you still do not receive the invitation by Tuesday, April 16th or have any issues, please contact Laura Minniear at registration@masonbandboosters.com or Kim Bishop at secretary@masonbandboosters.com. (Response time from us may be a bit longer than typical depending upon the volume of emails we receive and our day jobs. We appreciate your understanding and patience in advance.)

We will have optional "office hours" on Tuesday, April 16th for anyone who has questions or needs assistance from 7pm to 8:30pm. The location will be announced as soon as we hear back from the school’s facilities department. We will also be available to answer questions at the General Booster meeting on April 30th.
IMPORTANT: Marching band students and parents will need to be enrolled in BoosterHub by April 30th to ensure you continue to receive all band communications.
SENIORS:
Your information will not be added into BoosterHub. Your last Sunday email containing the Band Notes will be on April 28th. You will still need to read the band notes every Sunday through the month of May This will ensure you do not miss any important information prior to your graduation. You can access the band notes in a variety of ways found below. Please know that the notes are posted typically sometime after 7pm on Sunday.

- The band notes will also be linked in the concert band updates sent by the directors every week. They will also share any other information that is relevant to our Seniors through their updates as well.
- Erica will have the band notes linked in her weekly updates for the Senior Guard members to access.
- A link to the band notes will also be shared via our Parent and Friends Facebook page once they are ready each Sunday throughout May.
We have also created a Senior distribution list in case we need to send additional emails to Seniors beyond the band notes or the director communications. We will be requesting information from our Seniors so we can stay in touch beyond graduation.
CONCERT BAND STUDENTS WHO WILL NOT BE IN MARCHING BAND:
We are still developing the timeline of when we will send out BoosterHub invitations to you. This will be sometime after the Concert Band class lists are finalized. Starting May 5th you will still need to read the band notes every Sunday! You can access the band notes through the means listed below until we can get you entered into BoosterHUB. This will be most critical through the end of the current school year and then again beginning the first week of August.

Spring Concerts - Full Itineraries below
As a reminder, spring concerts are coming up in just a few weeks! There were a few adjustments of which bands were scheduled for each evening due to added school events (Senior Class Awards Night). Scheduling in the spring is very challenging due to the auditorium being used for the musical and other spring events, and planning around EOC and AP Testing. Although our concert dates are set a year in advance, there is always a bit of flexibility needed due to the nature of busy spring schedules and auditorium availability.

This is the form that will be used to print names for concert band senior medals for graduation, and what will be read at the spring concerts during the senior recognition portion of the concert. If anything changes between filling out the form and the spring concerts, please reach out to a band director to make sure we have the correct info to read.

2024 Senior Plans
Attention Seniors!! It's that time of year again...can you believe graduation is right around the corner?! These last few months of your high school career are exciting times! We would love for you to create a senior shoutout slide so our band family can celebrate you and your accomplishments! We're going to start posting senior slides in April. If you’d like, feel free to submit your slide now. If you’re still deciding, send it whenever you’re ready! We will be sharing slides beginning in April and will continue through graduation Please click here for instructions.
Winter Guard Has Success Once Again!
Congratulations to our Competitive Winter Guard who placed 3rd in the Mid East Performance Association (MEPA) championships this weekend! You have been representing Mason well this season with your amazing performances! We can’t wait to see what you do this upcoming weekend during the WGI World Championships. Best of luck to all of the Competitive Winter Guard members.
REMINDERS
Save The Date-Booster Meeting/Election April 30th
Please plan to join us on April 30th for our next booster meeting and Executive Board election. The meeting will take place at 7pm in the High School Large Commons. In addition to the election, we will be providing critical information regarding band camp and the upcoming marching band season. We will also have individuals available to answer any questions you may have about the registration process and will provide assistance to anyone who needs help setting up their BoosterHub account. We hope to see you there!

New Member Coffee Talk
All new member parents are invited to attend our first New Member Coffee Talk of the 2024 Marching Band season on Tuesday, April 9th at 7pm in the HS staff Dining Room. This will be an informal opportunity to socialize with other new parents and have your questions answered by seasoned band parent mentors. If that doesn’t entice you, perhaps some coffee and some treats will. Please enter the High School through the music wing doors found at the back of the High School. You will walk straight and the dining room will be on your right hand side. We will have signs to direct you. We hope to see you there!
After Prom- Volunteers/Donations Requested
HELP WANTED!
Every year the band hosts the tattoo parlor for our juniors and seniors at After Prom. We are in need of candy, temporary tattoos and monetary donations. Monetary donations will be used to purchase additional needed items and decorations. The Amazon Wish List link provided below contains our most popular tattoos from last year as well as some candy options.
We are also in need of volunteers to help decorate and run the band’s Tattoo Shop during After Prom. We could use both parents and students to help decorate and set up the evening before prom on Friday, April 26th During After Prom on Saturday April 27th we need parent volunteers. Students may not volunteer Saturday during the After Prom per the school policy. Please sign up at the link below if you are interested in helping.
